Associate Director of Patient Recruitment’s Main Objective: As the Associate Director of Patient Recruitment, you will lead the strategic oversight and performance of our centralized patient recruitment function across multiple clinical research sites. You will be responsible for hiring, training, and developing a high-performing team to deliver aggressive recruitment goals, optimize patient scheduling workflows, and drive operational excellence. This is a key leadership role that bridges performance management, stakeholder communication, and continuous improvement across a rapidly growing clinical research organization. Key Responsibilities Team Leadership & Development Hire, mentor, and develop recruitment managers and team leads, building a leadership bench capable of managing high-volume patient engagement operations. Conduct regular coaching sessions and performance reviews with direct reports to drive accountability and support career growth. Promote a culture of continuous learning, structured feedback, and professional development across the department. Performance & KPI Management Own the development and execution of team and individual KPIs focused on patient outreach, scheduling, and enrollment metrics. Analyze data to identify trends, bottlenecks, and risks; implement solutions that accelerate timelines and improve conversion rates. Build and maintain performance dashboards to ensure real-time visibility and agile response to recruitment challenges. Strategic Oversight & Alignment Collaborate with clinical operations and business development leaders to align recruitment activities with trial timelines and revenue goals. Develop and scale recruitment strategies that support multi-site growth and regional expansion. Identify tools, technologies, and process innovations that enhance the effectiveness of recruitment workflows. Cross-Functional Communication & Client Engagement Serve as the primary liaison between the recruitment function and clinical operations, marketing, and external sponsors. Represent recruitment performance, trends, and forecasts in senior leadership meetings. Collaborate with Business Development and Clinical Site Managers to align recruitment efforts with physician capabilities and patient populations. Operational Excellence Standardize processes across recruitment teams to ensure consistency, compliance, and quality of patient interactions. Oversee the development and refinement of reporting and analytics tools to support data-driven decision-making. Drive a patient-centric, service-oriented culture that reinforces compliance with protocol requirements and ethical guidelines. Risk Mitigation & Continuous Improvement Identify recruitment challenges early and develop contingency plans to minimize impact on study timelines. Lead initiatives focused on innovation, process optimization, and recruitment best practices to ensure the organization remains competitive in a dynamic research landscape. Skills Needed to Win Required: 8+ years of progressive leadership experience, including managing managers and overseeing multi-site or centralized operations. Required: Proven success leading recruitment, sales, call center, or customer engagement teams in a healthcare or high-volume environment. Required: Demonstrated experience with performance management, KPI tracking, and operational process improvement. Required: Strong communication skills with ability to influence cross-functional leaders and external stakeholders. Required: Willingness to travel regionally to engage with on-site teams and stakeholders. Preferred : Healthcare, or physician engagement experience. Preferred: Financial and budget management over multiple locations. Preferred: Experience implementing new technology platforms or tools to enhance recruitment or call center operations. Preferred: Bachelor's degree; certifications in call center leadership or healthcare operations are a plus.
